New Event Application Process Strengthens Safety and Streamlines Registration in South Ayrshire

South Ayrshire Council has introduced a new, streamlined process for event applications. From Monday 30 March 2026, event organisers will complete a single online Event Application Form for event registration.

The new process also flags up the proposed event to the Safety Advisory Group (SAG). This is a multi-agency forum chaired by the council that provides advice on public safety planning. 

Developed in partnership with East Ayrshire Council and North Ayrshire Council, the new approach creates a single, consistent route for registering and planning events. This simplifies the process for organisers, improves multi-agency coordination, and ensures a consistent experience for partners such as Police Scotland and NHS Ayrshire & Arran.

The updated process supports preparations for Martyn's Law also known as the Terrorism (Protection of Premises) Act 2025.This new UK legislation is designed to strengthen security at public venues and protect people from the risk of terrorism.

Once an application is submitted, it is reviewed and scored against the Ayrshire Events Risk Matrix. This determines whether the event requires consideration by the South Ayrshire Safety Advisory Group. 

A new Pan-Ayrshire SAG Oversight Group has also been established. This group brings together the three Ayrshire councils and partner agencies to share best practice, support standardisation, and promote a joined-up approach to event safety.

In addition, a consolidated events calendar will record all notified events, including sports fixtures, and will be shared regularly with partners to support resource planning.

Catriona Caves, Chief Governance Officer for South Ayrshire Council said: "This streamlined process provides a single route for event applications and strengthens how we work with partners. Through a pan-Ayrshire approach with East Ayrshire Council and North Ayrshire Council, we are improving consistency and supporting national efforts to enhance event safety, including preparations for Martyn's Law."
