Adult and Young Carer's Van Naming Competition Privacy Notice

The purpose of this data collection is to hold a competition with South Ayrshire residents, nursery children and school pupils to gather suggested names for the Council's new awareness-raising vans for adult and young carers.  A Panel of Health and Social Care Partnership officers will judge the suggested van names put forward in the competition to choose the winners.

As the 'data controller' for the personal information - or data - we hold about you, South Ayrshire Council decides how your personal information is used/processed, and what it is used for.  This statement provides more details about this and provides information on how to get in touch with us if you need to know more.

Your personal data - what is it?

Personal data is information relating to a living person who can be identified from that data. Identification can be based on the information alone, or in conjunction with any other information. The processing of personal data is governed by the UK General Data Protection Regulation (UK GDPR) and supplemented by the Data Protection Act 2018.

What Personal Data will we collect from you?

When you, or your parent/guardian agree you can take part in our adult and young carer's van naming competition, we will collect the following personal information from you:

If your suggested van name is chosen

Email address

Entrant's Name

Nursery/School Attended

Parent/Guardian's Name (where applicable)

How will we use your information?

Your email address and the name of the nursery/school attended (if applicable) is required to enable you to enter the competition.  We will use your email address to notify you if you are chosen as one of our competition winners.  Competition winners or their parent/guardian will be contacted separately, and permission will be sought to provide and share their forename along with the van name chosen by them in the competition. This will be taken forward through the completion of a Health and Social Care Partnership (HSCP) consent form.

What is the legal basis for using/sharing your information?

Our legal basis for processing your personal data is you have freely given your consent to the processing of your personal data for the purposes described above and in the completed consent form.  You can withdraw your consent in whole or in part at any time.  If you wish to withdraw your consent, please let us know by contacting carers@south-ayrshire.gov.uk.   Please note once information has been shared it cannot be unshared.

Who will we share your information with?

We will not share your personal data with any third party and your email address will only be used by us to contact you as a competition winner.  When contacted, where you have provided your name and agreed for your forename to be published along with the winning van name you chose, we will publish this data on our HSCP social media websites, e.g. Facebook, Twitter and You Tube.

How long do we keep hold of your information?

Your personal data will be retained only for the duration of the competition. Once winners have been notified, collected competition entry data will be securely deleted. Where a consent form has been completed for winning entries, this data will be retained for as long as we have reasonable business needs and have your consent.

What are your rights?

The lawful basis for processing/using your personal data directly impacts which rights are available to you. You can ask us to:

  • correct your personal information if it is inaccurate;
  • complete your personal information if it is incomplete;
  • restrict the processing of your personal information in certain circumstances; and erase your personal information in certain circumstances.

You also have the right to object to the processing of your personal information.

What are the consequences of failing to provide personal information?

Failure to provide this information will prevent us from entering you into the competition and contacting you if you are selected as a competition winner.

What about Automated Decision- Making?

The Council does not use profiling or automated decision-making. Some processes are semi-automated (such as data matching for the prevention or detection of fraud), but an actual person will always be involved before any decision is reached affecting any individual.
